EstimateFlow Pro Documentation and Setup Guide

Complete instructions for installing, configuring, displaying, testing, and operating EstimateFlow Pro on a WordPress service-business website.

Important: Menu names can vary slightly by plugin version. After changing a popup, floating-bar, or display setting, clear every cache layer and test the public page while logged out.

1. Requirements and Installation

EstimateFlow Pro is a WordPress plugin. Before installation, create a current website backup and confirm that WordPress, the active theme, PHP, and essential plugins meet your host’s supported requirements.

  1. Download the official EstimateFlow Pro ZIP file. Do not unzip it.
  2. In WordPress, go to Plugins → Add New Plugin → Upload Plugin.
  3. Select the ZIP file and click Install Now.
  4. When installation finishes, click Activate Plugin.
  5. Open EstimateFlow Pro in the WordPress dashboard.

If replacing an older version: back up first. Normally install the update over the existing version or use the standard WordPress update screen. Do not enable data deletion or manually remove plugin database tables.

2. First-Time Setup Checklist

  1. Enter the business name and the business notification email address.
  2. Enter the telephone number used by the Call action.
  3. Enter a mobile number capable of receiving SMS for the Text action.
  4. Create at least one estimator before selecting a default estimator.
  5. Select the default estimator if a site-wide Get Estimate popup will be used.
  6. Choose the Desktop Floating Display Mode and Mobile Floating Display Mode.
  7. Set button labels, colors, sizes, corner radius, spacing, and position.
  8. Review popup headings, instructions, disclaimer, processing message, success text, and close-button text.
  9. Save all settings, clear caches, and complete a real test submission.

3. Create and Configure an Estimator

  1. Open the estimator manager and choose Add New.
  2. Give the estimator a clear internal name, such as “Junk Removal Estimate” or “Lawn Care Estimate.”
  3. Add the questions in the order customers should answer them.
  4. Add answer choices and company-defined price adjustments.
  5. Mark only essential questions as required.
  6. Configure contact fields, photo instructions, preliminary-pricing disclaimer, processing message, and success screen.
  7. Save and preview the estimator.
  8. Test the lowest, highest, and unusual answer combinations.

You can create unlimited service-specific estimators. The plugin does not supply a contractor’s prices: the business is responsible for every base amount, adjustment, range, minimum, and disclaimer.

4. Questions, Choices, and Pricing Rules

Choose the right question type

  • Single choice: one answer only, such as service frequency or size range.
  • Multiple choice: several conditions may apply, such as obstacles, add-ons, or materials.
  • Dropdown/select: useful for a longer compact list.
  • Written response: use for job descriptions or details that cannot be predicted.

Pricing adjustments

Build rules from your own verified labor, disposal, material, travel, equipment, access, risk, and minimum-charge information. Test every option individually and in combination.

Preliminary estimate range

Clearly state that the displayed amount is preliminary—not a binding quote. Final pricing can change after review.

5. Customer Wording and Form Settings

Review every customer-facing field so the form sounds like your business and no setting is left blank unintentionally.

  • Photo instructions: explain what customers should photograph.
  • Pricing disclaimer: explain why the final price may change.
  • Processing message: tell customers the request is being submitted.
  • Success heading: clearly confirm completion.
  • Success message: state that the request was received.

6. Photo Quote Setup and Operation

Photo Quote provides a second path when automatic pricing is not accurate enough. Customers can select Send photos for a personalized quote, describe the work, add at least one photograph, enter contact information, and submit.

Request clear, well-lit photos of the complete job area and tell customers not to upload passwords, payment information, IDs, or unrelated private material.

7. Business Notification Emails

Set the business notification address in EstimateFlow Pro settings. Test both regular estimate and Photo Quote submissions, verify every field and attachment, and confirm the matching WordPress lead was stored.

If mail is unreliable, configure a reputable authenticated SMTP or transactional email service supported by the host.

8. Floating Call, Text, and Get Estimate Buttons

  • Call: opens the device telephone action.
  • Text: opens the SMS action.
  • Get Estimate: opens the selected estimator.

Configure desktop and mobile independently and test common browser widths and phones.

9. Site-Wide and Page-Specific Display

Site-wide default

Select a default estimator when the same Get Estimate popup should be available throughout the site.

Assigned pages only

Use page-specific controls when an estimator or floating actions should appear only on selected service pages.

Page-specific estimator override

A page can open a different estimator from the global default.

10. Add an Estimator With Elementor or Shortcode

  1. Edit the page with Elementor.
  2. Search for the Service Estimator or EstimateFlow widget.
  3. Drag it into the desired container.
  4. Select the correct estimator.
  5. Update the page, clear caches, and test while logged out.

11. Manage Leads and Follow Up

The Leads area stores regular estimate and Photo Quote requests. Review customer contact details, estimator answers, notes, preliminary range, and photos. Record the final price separately from the plugin’s preliminary range.

12. Photos, Privacy, Spam Protection, and Security

  • Restrict WordPress administrator access and use multifactor authentication.
  • Keep WordPress, EstimateFlow Pro, the theme, and other plugins updated.
  • Collect only information needed to evaluate and follow up on the request.
  • Publish an accurate privacy policy.
  • Back up the website securely.

Never ask customers to upload identification, payment-card data, passwords, medical information, or other sensitive records through the estimator.

13. Complete Test and Launch Checklist

  • All estimator questions, choices, required fields, and price adjustments work.
  • The disclaimer is visible.
  • Regular estimate and Photo Quote submissions save as leads.
  • Business emails arrive with complete data and usable photos.
  • Call and Text use the correct numbers.
  • Get Estimate opens the intended estimator.
  • Desktop and mobile display modes show the correct action combination.
  • Tests pass while logged out after all caches are cleared.

14. Licensing, Updates, Backups, and Uninstall

License activation

Open the plugin’s License area, enter the key exactly as issued, activate it for an authorized domain, and confirm success.

Updates

Create a full backup before updating, then clear caches and retest.

Deactivate versus delete

Deactivation stops the plugin without intentionally removing saved information. Deleting can remove saved data when Delete data on uninstall is enabled.

15. Troubleshooting Guide

The floating bar or popup shows an old setting

Save settings, purge all cache layers, and test privately while logged out.

Call or Text does not work

Verify the saved number and device display mode.

Get Estimate opens the wrong estimator

Check the page-specific estimator first, then the global default.

Photo Quote cannot submit

Confirm at least one photo and all required fields are present.

No notification email arrives

Verify the address, check spam folders, and test WordPress mail.

Before contacting support

Record versions, theme, affected URL, device, browser, exact error, screenshots, and reproducible steps. Never send passwords.
